Checklists, flyers and forms in an afternoon
Every workplace has a pile of small documents nobody has time to make. This is where AI has saved me the most hours with the least drama.
What I have made this way
- A daily bus cleaning checklist for our custodian. One page is a grid: a column per bus, a row per task, and room to mark done, not applicable or problem. The second page is a work log with signature lines.
- A building cleaning checklist to match it. I uploaded the bus checklist and asked for the same look. Claude opened the original file, read the exact fonts and colors out of it, and matched them. When I asked for a revision, it split the document in two: one for the inside of the building, room by room, and one for the outside areas with morning and afternoon columns.
- A "show your ID" flyer for discounted fares, half a letter page, first in portrait and then in landscape when I changed my mind.
- A one-page staff sheet on what to do when a paratransit rider moves here from another city, with the regulation cited at the bottom.
- A fillable PDF that my director asked me to complete on behalf of the division. Claude filled it in from the division's point of view, and then listed the questions it was not comfortable answering for me.
- An anonymous suggestion box built on the form tool we already pay for, with a QR code to post around the office.
The detail that mattered
On the suggestion box, Claude pointed out that our form tool records who is responding by default for work accounts. You have to switch that off, or "anonymous" is not anonymous. That one note is the difference between a tool people trust and one they do not.
Where it falls short
It makes assumptions to fill gaps, such as which rooms are locked or how many restrooms are outside. The good news is that it lists those assumptions at the end. Read that list. It is always the most useful paragraph.
